During the ERASMUS Studies Abroad

Before you leave for your ERASMUS studies abroad, you should have already completed all the important ERASMUS formalities. However, there may be some changes to your timetable or the length of your stay. A brief summary of what to do in these cases is provided here.

Learning Agreement During the Mobility

It can always happen that courses are not offered as expected so that you will have to change your timetable. In this case please use the Learning Agreement During the Mobility to specify which courses you cannot or do not want to take as stated in your original Learning Agreement and whether or how you will replace them.

Please make sure that you meet the minimum requirements of 15 ECTS per semester!

A scanned version (PDF) of your Learning Agreement with the signatures of all those involved (you, your ERASMUS departmental coordinator at RUB as well as your ERASMUS departmental coordinator at your host university) has to be sent toerasmus-dokumente@rub.de


Change in Duration of Stay: Extension

"Extension" for a few days
If you realise on site that the actual lecture and/or examination period of your host university is longer than the approved ERASMUS funding period in your Grant Agreement, please inform the International Office of Ruhr-Universität Bochum in due time (!).

Extension for one semester
If you would like to extend your ERASMUS study abroad for the following winter semester, please get in touch with your ERASMUS departmental coordinator at Ruhr-Universität Bochum and apply for ERASMUS in the next academic year. If you wish to extend your ERASMUS study abroad for the following summer semester, you have to inform the International Office of Ruhr-Universität Bochum in due time (!). A confirmation from both the host university and the ERASMUS coordinator at Ruhr-Universität Bochum must be submitted. An informal e-mail is sufficient in both cases. Please also submit the new end date of your study abroad and the complete Learning Agreement (signed by all parties!) for your second ERASMUS semester by the deadline.

Important information on the notification deadline
If you do not apply for an extension in advance, the pre-calculated ERASMUS grant cannot be increased for an actually longer stay. Therefore, please inform the ERASMUS team at Ruhr-Universität Bochum about the extension at least 30 days before the end of the original grant period, both for an extension of a few days and for an extension of a whole semester: erasmus-dokumente@rub.de


Change in Duration of Stay: Reduction

The minimum duration of an ERASMUS study abroad is 90 days (exception: trimester). The ERASMUS grant must be repaid if the minimum period of stay is not fulfilled.

If you realise on site that the actual lecture and/or examination period of your host university is shorter than the approved ERASMUS funding period in your Grant Agreement, please inform the International Office of Ruhr-Universität Bochum immediately: erasmus-dokumente@rub.de
If your host university confirms in the Confirmation of Stay at the end of your stay a shorter period than originally agreed, the ERASMUS grant will be reduced accordingly and accounted with your second grant instalment.


Cancellation of Stay

Are you considering to quit your ERASMUS study abroad? Sometimes getting settled in your host country is actually harder than expected. A "culture shock" is also not an unusual phenomenon, but usually only temporary. If you have any problems or doubts, please contact the International Office of Ruhr-Universität Bochum and your host university as well as your ERASMUS departmental coordinator at Ruhr-Universität Bochum and at the host institution. A solution can certainly be found together.

If you cannot continue your ERASMUS studies due to illness or other reasons, please inform the International Office of Ruhr-Universität Bochum and your host university as well as your ERASMUS departmental coordinator at Ruhr-Universität Bochum and your host university as early as possible. In cases of justified hardship, the ERASMUS grant will not be reclaimed. In case of illness a medical certificate must be presented.

Transcript of Records of the Host University

As early as possible, preferably a few weeks before the end of your ERASMUS studies abroad, ask at your host university when and in what form you will receive your proof of academic achievements abroad. The Transcript of Records is usually issued either by the International Office or the department in charge of the host university.


Confirmation of Stay

This document provides the exact dates of your stay at the host university. Based on the confirmed dates, the exact amount of your ERASMUS grant will be calculated. The Confirmation of Stay has to be issued no earlier than five days before the end of your studies. It can either be completed and signed by a contact person from the International Office or your ERASMUS departmental coordinator of your host university. The document is available for download on this page.

To receive the second instalment of your ERASMUS grant you have to e-mail a scanned version of the Confirmation of Stay to the International Office.


Second OLS Language Test

Depending on the language of instruction you specified in your online grant application, you will receive an invitation to take the second OLS language test. Only for Turkish, there is no offer so far.

If you do not receive an invitation to the second OLS language test before the end of your stay, it is possible that it will be sent to you shortly after your return. The receipt of the invitation e-mail depends on the date you originally specified as the end date of your mobility in the OLS system.

If you completed the first OLS language test at level C2, the second OLS language test is not required and therefore you will not receive an invitation.
